The business
The Grout Medic of West/Southwest Chicagoland restores tile and grout for homeowners across Naperville and the western suburbs. Every job starts with a free in-home estimate. Every estimate starts with a phone call.
The problem: an answering service that couldn't book
The phones never stopped. The business got 10 to 15 inbound calls a day, and 6 to 8 of them were estimate requests. An answering service and chat vendor cost about $2,000 a month. They still couldn't book anything. They took messages, and staff called people back. By then, some homeowners had already booked with a competitor.
Reschedules, cancellations, callers outside the service area and service questions ate up the rest of the day.
What we built: Sarah, an AI scheduling assistant
Explained Consulting deployed Switchboard, an AI scheduling assistant named Sarah. Sarah answers the phone and finishes the job:
- Books free estimates live, using real availability from ServiceMinder
- Creates the customer record and the appointment, with no retyping
- Reschedules and cancels existing appointments
- Answers common service questions
- Screens callers from outside the service area and routes them correctly
- Hands off to the office only when a caller truly needs a person
Under the hood, Sarah runs on Retell AI, n8n workflows and a direct ServiceMinder API integration. Every call is logged, scored and reviewed. Weak spots get fixed one release at a time.

Why it worked
Built around the CRM.
Integration is the hard part. ServiceMinder's API has gaps the documentation doesn't mention. We found them in testing and built around them.
Measured the right thing.
The question was never "did it answer?" It was "did it finish the job without a human?" That number drives every release.
Treated as a living system.
Sarah has shipped more than 150 versions. Each one fixed something real callers ran into.
